Terms of Service
Rules for using Fawn to track submeter readings and peso bills — for Philippine property managers.
Effective date: August 30, 2026
Welcome to Fawn — An Electric Bill Tracker. These Terms of Service ("Terms") govern your access to and use of Fawn's web application, PWA, and related services (collectively, the "Service"), operated for property managers in the Philippines.
By creating an account, signing in, or otherwise using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not create an account or use the Service. Fawn is intended for users 18 years and older who manage properties and submeters on their own behalf.
The Service is single-account by design — one manager per account. There is no team or multi-user access today, and you are responsible for all activity under your credentials.
Fawn helps you record monthly submeter readings per property and track portfolio-wide consumption and cost history from your phone — at the meter, not at a desk.
- Properties & submeters: Create, edit, deactivate (archive), and organize meters under properties (name, description, address).
- Readings: For each active submeter, record one reading per billing month: previous dial, current dial, multiplier, and peso total. Consumption is
current − previous(× multiplier when applicable). Skipping a month (e.g. unreachable meter) is supported without breaking the series. - Bills & history: Monthly bills grouped by year/month and a 12-month dashboard of kWh and ₱ totals, plus alerts for active meters missing this month's reading.
- Proof: Optional meter-face photos (current and previous) stored via Cloudinary as evidence beside the reading.
Currency is Philippine pesos (₱) and dates follow Asia/Manila timezone. The Service does not compute your total from a tariff — the peso amount you enter is the bill.
No tariff / rate engine: Future pricing automation is not part of the current Service. Any future change will be announced under "Changes to These Terms."
You create one manager account with an email and password. OAuth name/image is optional. How we store passwords, encrypt connections, and host data is described in our Privacy Policy → Data Storage & Security.
- Your duty: Keep your password confidential and notify us promptly at johnthomasalog@gmail.com of any unauthorized use. You are responsible for all activity under your credentials.
- Single-account: Sharing credentials or attempting team/multi-user access via unsupported means violates these Terms. One manager, one account.
- Our controls: We may require re-authentication, throttle, or suspend access if we detect suspicious activity or abuse patterns. We may refuse registration at our discretion.
You agree to:
- Enter readings truthfully and promptly — the reading is the unit of truth for every bill and trend.
- Ensure you have the right to photograph meters on the properties you manage.
- Keep bill amounts, tenant information, and property details accurate and up to date.
- Comply with Philippine law, including the Data Privacy Act of 2012 where you handle tenant data.
- Not use the Service to mislead tenants or issue fraudulent bills.
You are solely responsible for the peso totals you enter and any amounts you charge tenants outside the Service. Fawn is a tracker, not a billing authority.
You must not:
- Probe, scan, or test the vulnerability of the Service or circumvent access controls.
- Scrape, crawl, or harvest data except via the Service's own UI/API as provided.
- Reverse-engineer, decompile, or attempt to derive source code.
- Upload malware, spam, or content that infringes third-party rights.
- Interfere with or disrupt the Service, including rate-limit evasion or denial-of-service.
- Impersonate others or misrepresent your affiliation with a property.
We may throttle, block, or suspend accounts that violate this section.
You retain ownership of all content you submit — properties, submeters, readings, notes, and meter photos.
- License to host: You grant Fawn a non-exclusive, worldwide, royalty-free license to host, store, process, and display your content solely to operate and improve the Service (e.g. storing photos via our image CDN, generating bills and history).
- Accuracy: You warrant that photos are of the actual meter for the claimed reading period. We do not verify dial values against photos.
- Retention: How long content and photos are kept, including the 30-day/90-day deletion windows and legal holds, is governed by our Privacy Policy → Data Retention.
Do not upload photos containing unrelated personal data or third-party faces. Meter faces should be the subject.
The Service, including the "Fawn" name, logo, UI, and underlying code, is owned by its operators and protected by copyright and other Philippine and international IP laws.
These Terms do not transfer any IP rights to you. You may not copy, modify, distribute, or create derivative works from the Service except as expressly permitted. Trademarks and trade dress may not be used without prior written consent.
Brand note: The product is named "Fawn — An Electric Bill Tracker" per our product commitments. No other brand claims are made.
The peso total for each reading is entered by you, not computed by a tariff or rate engine. Fawn does not calculate taxes, surcharges, or regulatory fees and does not generate BIR-compliant invoices or official receipts.
- Fawn is not a payment processor and does not collect money from tenants.
- Displayed trends and dashboards are summaries of your entered data for management purposes.
- Consult a licensed accountant or tax advisor for tax, invoicing, and compliance obligations.
You are responsible for the amounts you charge and for compliance with applicable Philippine utility, tenancy, and tax rules.
The Service depends on a small set of infrastructure providers to operate. The full, canonical list of vendors, purposes, data categories, and locations — and whether a DPA is in place — is disclosed in our Privacy Policy → Third-Party Processors.
- Authentication library (self-hosted) and managed PostgreSQL for accounts and readings
- Image optimization & delivery CDN (Cloudinary) for meter photos
- Cloud hosting & edge platform (Vercel) for delivery and logs
Availability and performance depend in part on these providers. Third-party links or future integrations are governed by their own terms and at your own risk.
By you
You may stop using the Service at any time and request account deletion by emailing our Data Protection Officer at johnthomasalog@gmail.com. What gets deleted and when is governed by Privacy Policy → Data Retention (30 days live data, 90 days backups, legal holds).
By us
We may suspend or terminate access if you violate these Terms, create risk or legal exposure, or if required by law or a subprocessor. For non-egregious breaches we will make reasonable efforts to provide notice and an opportunity to cure.
Effect
On termination, your right to use the Service ceases. Provisions that by nature should survive (IP, disclaimers, liability limits, indemnification, governing law) remain in effect.
As-is service: The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy, or non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or that data will never be lost.
Limitation: To the maximum extent permitted by Philippine law, in no event will Fawn or its operators be liable for indirect, incidental, consequential, special, or punitive damages (including loss of profits, revenue, data, or goodwill), even if advised of the possibility. Our aggregate liability for any claim arising out of or relating to the Service or these Terms will not exceed the greater of (a) amounts you paid to use the Service in the 12 months preceding the claim, or (b) ₱1,000, if the Service is free.
Some jurisdictions do not allow certain warranty exclusions or liability limits — in those cases the limits apply to the extent permitted by law.
You agree to indemnify and hold harmless Fawn and its operators, officers, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorney's fees) arising out of or related to your use of the Service, your content and meter photos, the peso amounts you enter and charge, or your violation of these Terms or applicable law — including disputes with tenants over bills. We may assume exclusive defense and you agree to cooperate.
These Terms are governed by the laws of the Republic of the Philippines, without regard to conflict of laws principles. Where applicable, the Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations apply to personal data processing as described in our Privacy Policy.
Disputes arising out of or relating to the Service or these Terms will be subject to the exclusive jurisdiction of the courts of Manila, Philippines, unless mandatory law provides otherwise. You and we consent to venue there.
Before filing a claim, you agree to contact us at johnthomasalog@gmail.com and attempt to resolve the dispute informally for at least 30 days. Regulatory complaints about privacy may also be lodged with the National Privacy Commission at privacy.gov.ph.
Consumer and tenancy rights under Philippine law are not waived where waiver is prohibited.
We may update these Terms to reflect changes in the Service, legal requirements, or business practices. The "Effective date" above will be revised with each update.
Material changes will be announced via an in-app banner and/or email at least 15 days before they take effect. Continued use after the effective date constitutes acceptance. If you do not agree to the updated Terms, stop using the Service and request deletion before the effective date.
Review these Terms periodically. Prior versions will be archived on request.
